Chat with Anyone Using Just an Email Address in Microsoft Teams

Microsoft Teams continues to evolve as a leading collaboration platform, and its latest feature is a game-changer for external communication. Now, users can initiate chats with anyone using just their email address, even if the recipient doesn’t have a Teams account. This update simplifies external collaboration and enhances flexibility for organizations and individuals alike.

What’s New?

Previously, chatting with external users in Teams required them to be part of your organization or added as a guest. With this new feature:

  • You can start a chat by entering any email address.
  • The recipient receives an email invitation to join the conversation.
  • They can participate as a guest user in Teams without needing a full account.

This feature is available across all major platforms: Windows, MacOS, iOS, Android, and Web.

How It Works

Start a New Chat: Open Microsoft Teams and click on the pencil icon as illustrated above.

Enter Email Address: Type the email address of the person you want to chat with.

Send Message: Compose and send your message.

Recipient Joins: The recipient gets an email with a link to join the chat in Teams.

They can join as a guest and start chatting immediately, with access to basic features like messaging, file sharing, and video calls.

Security and Governance

This feature is governed by Microsoft Entra B2B policies, ensuring secure and compliant guest access. Admins can manage settings via TeamsMessagingPolicy, including:

  • Enabling/disabling external chat.
  • Controlling guest permissions.
  • Monitoring usage and access.

By default, this feature is enabled, but organizations can opt out if needed.

Benefits for Organizations

Simplified Collaboration: No need for complex guest setups.

Faster Communication: Instantly connect with clients, vendors, or partners.

Inclusive Access: Ideal for freelancers or stakeholders outside your organization.

Cross-Platform Support: Works on all devices and operating systems.

Rollout Timeline

  • Targeted Release: Early November 2025.
  • General Availability: January 2026.

Organizations should prepare by updating internal documentation, training helpdesk teams, and reviewing guest access policies.

Final Thoughts

This new capability in Microsoft Teams is a significant step toward more open and flexible communication. Whether you’re working with external clients or coordinating with remote teams, chatting with anyone using just their email address makes collaboration easier than ever.
